„Billexco - The billing exchange community“ is a global online community for businesses to easily and securely exchange invoices in PDF format, observing the legal requirements regarding input tax deductions. Only the usual PC infrastructure, computer with Internet connection, is required to participate. A participating company can be registered online in a few minutes and is then immediately ready to participate. The invoice transmission is controlled via business links between Billexco participants. A business link becomes active after both parties agree.
PDF replaces paper
You continue to create your invoices on your regular system. Instead of printing the invoice and sending it by post, you generate a PDF file and upload this to Billexco. With this your e-invoice is on the way to the recipient.
What we do for you
Billexco converts your PDF invoice into the archive conform PDF/A format, signes it on behalf of the sender, validates the signature on behalf of the recipient and makes all this available to sender and recipient.
Upload invoice
Depending on your subscription, you can upload your PDF-invoices manually, deliver them by e-mail or by SFTP. All you need to manually upload the PDF invoice is a computer with Internet access.
We offer also solutions to automate the sending of invoices.
PDF/A conversion
Billexco converts the uploaded PDF file into the archive compatible PDF/A format. This ensures that your invoice can still be read and processed in ten years time.
Electronic signature
Billexco digitally signs the PDF invoice in the name of the invoice sender. The signature is applied with the services of TrustWeaver and QuoVadis.
Verification of the signature
Billexco validates the signature and creates the validation report on behalf of the recipient.
Delivery of the signed invoice
Invoice sender and recipient receive a PDF-Portfolio file containing this data:
- Signed PDF-invoice
- Originally uploaded PDF file
- Validation report
- Delegation statement
The PDF-Portfolio can be opened with any popular PDF reader.
Who is paying?
The subscription costs are always payed by the subscription owner. The recipient determines who is paying for the delivery costs of the invoice (either sender or recipient).
The Swiss Federal Administration, as an example, bears the delivery costs. For this recipient, the delivery of the PDF invoice is totally free for participants with a Starter subscription.
